The overall goal of the programme is to reduce disparities in Albania by supporting the development of strong regions, which advance their potentials and provide better social and economic conditions for their citizens.
The main objectives of the Programme are: (i) support to the Central Government in defining, coordinating and implementing the institutional and legal framework for Regional Development (ii) support new regional development institutions in making effective and strategic use of funds through a partnership approach (iii) improve the socio-economic conditions of Albanian citizens through implementation of Regional Development programmes reflecting regional needs and priorities.
-Provide administrative support for the Team leader, Programme Manager and Financial Officer, including extensive calendar and contact management, drafting, reviewing and copy editing correspondence, meeting preparation and coordination.
-Assists with design, development and dissemination of project products and reports;
-Assists in arranging programs for in-coming and out-going official missions, make appointments with project stakeholders, including logistical arrangements and secretarial assistance;
-Hold communication and ensure collaboration with all Central Office vendors, including telecommunications, transportation, and maintenance for the office;
-Maintain agency archives in compliance with the office documentation policy;
-Oversee and manage IT services and facilitate communication between IT services and office staff;
-Oversee proper functioning of infrastructure and equipment at all office locations, including workstations, printers, and other office’s needs;
-Conducts other activities deemed as necessary within the framework of the Office/Secretariat.
-Translate occasionally from Albanian to English or English to Albanian.
Maintain infrastructure inventory, including workstations, printers, network account information and address needs of office staff.
-Engage in planning for future IT and other office needs;
-Manage contracts, new vendor selection and vendor relationships, including office supplies, IT services, telecommunications, internet service providers and mobility, copiers, and postage and shipping;
-Coordinate with Financial Specialist to manage vendor invoices and ensure all invoices are paid properly and on-time.
Kualifikimet / Kërkesat
-Degree Academic level, (where a university degree has been awarded on completion of four years study in a university or equivalent institution) in communication, business administration, foreign languages or other equivalent studies;
-Working knowledge of English (absolutely required);
-Working knowledge of Albanian (absolutely required).
General professional experience:
-Minimum two years of office management or administrative experience, preferably in the non-profit sector.
-Excellent interpersonal and business communication skills, both written and verbal required;
-High level of organization, attention to detail, follow-through, and multi-tasking required;
-Excellent computer skills (MS Word, Excel, databases, and communication systems) required;
-Vendor management experience preferred, including new vendor selection, contact management, and vendor relationship building;
-Excellent writing communication and experience copy editing documents and reports.
-Able to work with little supervision, focused, well organized, detail oriented;
-Able to prioritize work, multi-task and meet deadlines;
-Strong interpersonal skills and flexibility, responsibility, integrity, team work, self-motivated, exceptional verbal and written communication skills;
The position offered is fulltime and is located in Tirana. Frequent travel within the country is expected.
